Privacy Policy

1. Introduction

Hunter Creative Media & Design ("Hunter Creative Media," "HCM," "we," "us," or "our") operates the CoreCNX platform, a contact relationship management and contact intelligence service. CoreCNX is part of the CNX Suite, which also includes Beacon (field operations), CampaignCNX+ (SMS), and Alma (website chatbot). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, web application, and related APIs (collectively, the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address, phone number, organization name, organization type (political campaign, nonprofit, B2B services, agency, or other), and your role within your organization. Workspace administrators may also provide billing information for processing through our payment provider.

2.2 Contact Data You Upload or Sync

Your workspace may upload, import, or sync contact records: names, addresses, phone numbers, email addresses, custom fields, segmentation tags, voter registration data, donation history, deal stages, and other CRM fields. This data is stored on behalf of your workspace and is subject to your workspace's own data governance policies. Your workspace is the controller of this contact data; CoreCNX acts as a processor.

2.3 Activity & Timeline Data

The core function of CoreCNX is to assemble a unified timeline of contact interactions. We collect and store every activity event written to a contact record, including but not limited to:

  • Door-knock dispositions, surveys, and notes received from Beacon
  • SMS sends, replies, opt-outs, and conversion events received from CampaignCNX+
  • Chatbot conversations, intent captures, and lead routing events received from Alma
  • Email sends, opens, clicks, and replies received from our email provider
  • Manual notes, calls logged, pipeline stage changes, and tasks created by your teammates

2.4 Usage & Device Data

We collect standard web logs when you use the Service: IP address, browser type and version, operating system, pages visited, referring URLs, timestamps, and approximate location derived from IP. We use cookies and similar technologies to keep you signed in and to remember your preferences.

2.5 Communications With Us

If you contact our support team or sales team, we retain a record of that correspondence so we can follow up and improve our Service.

3. How We Use Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Resolve activity events to the correct contact record by phone number, with email as fallback
  • Build and serve the unified contact timeline to authorized users in your workspace
  • Send you transactional messages (account verification, billing receipts, password resets, security alerts)
  • Provide customer support and respond to inquiries
  • Detect, prevent, and respond to fraud, abuse, and security incidents
  • Improve and develop new features, including aggregate analytics about how the Service is used
  • Comply with our legal obligations

4. Cross-Product Data Flow Within the CNX Suite

If your workspace connects CoreCNX to other CNX Suite products (Beacon, CampaignCNX+, or Alma) those products will send contact and activity data to CoreCNX through signed webhooks. CoreCNX may also send contact updates back to those products (for example, when a contact opts out, that opt-out propagates to CampaignCNX+ so the contact stops receiving SMS).

Each CNX Suite product is operated under its own privacy policy and has its own data retention rules; this policy governs the data that CoreCNX holds. Your workspace controls which suite products are connected and can disconnect at any time from your workspace settings.

5. Third-Party Service Providers

We rely on a small number of vetted third-party service providers to operate the Service. We share only the data necessary to provide the function in question.

  • SendGrid: for transactional and campaign email delivery, plus open / reply tracking webhooks back to your workspace's contact timelines.
  • Stripe: for subscription billing and payment processing. Card data is handled by Stripe directly; we do not store full card numbers on our systems.
  • Beacon, CampaignCNX+, and Alma: sibling CNX Suite products you have explicitly connected, used for cross-product data flow as described in section 4.
  • Cloud infrastructure providers: for application hosting, database storage, log aggregation, and backups.

6. How We Share Information

We do not sell or rent your personal information. We share information only:

  • With other authorized users inside your workspace, according to the roles your administrator assigns
  • With the third-party service providers listed in section 5, only to the extent necessary to operate the Service
  • With other CNX Suite products you have connected, as described in section 4
  • If required by law, valid legal process, or to protect rights, property, or safety
  • In connection with a merger, acquisition, or asset sale, in which case we will provide reasonable notice before any data is transferred

7. Data Retention

We retain account information for as long as your account is active. Contact records, activity timelines, and CRM data are retained for the duration of your subscription and for up to 90 days after cancellation, after which the data is permanently deleted. You may request earlier deletion of specific contacts at any time through your workspace settings. Backups are retained for up to 35 days and then rotated out.

We may retain transaction records, billing records, and audit logs for longer when required by law or to enforce our agreements.

8. Security

We protect data in transit using HTTPS / TLS and in rest using encrypted storage. Activity-event webhooks between CNX Suite products are signed so the receiving service can verify the sender. Workspace data is isolated per workspace at the application layer. Access to production systems is restricted to a small number of engineers, scoped by role, audit-logged, and protected by hardware-key-backed multi-factor authentication.

No system is perfectly secure. If we ever become aware of a security incident affecting your data, we will notify you and the relevant authorities consistent with applicable law.

9. Your Rights

Depending on where you live, you may have rights under applicable law to:

  • Access the personal information we hold about you
  • Correct inaccurate personal information
  • Request deletion of personal information
  • Object to certain processing or request restriction of processing
  • Receive a portable copy of your personal information
  • Withdraw consent where processing is based on consent

To exercise any of these rights, contact us using the email in section 13. If you are an end-contact (someone whose data was uploaded by one of our customer workspaces), please contact that workspace directly first; they are the controller of that data and we will assist them in honoring your request.

10. Cookies & Tracking

We use a small set of first-party cookies that are essential to the Service: a session cookie that keeps you signed in, a CSRF cookie that protects form submissions, and a preference cookie that remembers your UI settings. We use a privacy-respecting analytics tool to measure how the marketing site is used. It does not set advertising cookies and does not track you across other sites. We do not run third-party advertising trackers on the Service.

11. Children

The Service is intended for organizational and business use by adults. We do not knowingly collect personal information directly from anyone under 16. If you believe we have inadvertently collected such information, please contact us so we can delete it.

12. Changes to This Policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date at the top and, for material changes, give you reasonable advance notice through the Service or by email to your account address. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
